Dear Richard:

The Management Team of the PROBUS Club of Pickering recognizes your many positive contributions to the club, such as the CPR training, web development activities and your other enthusiastic efforts to help the club grow.

Unfortunately, you could not attend our special Management Team meeting. on Thursday, September, 24. The purpose of the meeting was to resolve the discord within the Management Team with a fair and effective course of action, according to the Constitution, By-Laws and Job Descriptions of our Club. The team determined that your positive contributions are outweighed by several disturbing factors: disruptive behavior at Management Team meetings; accusatory and criticizing emails; self-appointment as official club spokesperson with city officials and other community agencies, and reluctance to consider respectfully the comments and opinions of others. These recurring behaviours have caused concern and discord within the Management Team and with other club members.

Club By-Law 2h states “If, in the opinion of and after due consideration by the Club’s Management Committee, a member conducts himself/herself in such a manner as to bring discredit to the organization, or he/she causes discord within the membership, he/she may be asked to resign. This request should be made only if, after discussion between the member and the Management Committee, the conflict cannot be resolved “.

Since previous informal attempts to encourage you to act as a team member have been ineffective, the members of the Management Team unanimously decided to ask you formally to resign from the Management Team. If you wish clarification, please address the Management Team, as a whole, rather than any individual.

COPY OF THE MINUTES OF THE “SPECIAL MEETING”

MINUTES of the Special Management Committee Meeting of the PROBUS Club of Pickering held on September 24, 2015

Present:
Chuck Simmons, Melanie Hancock, Frank Green, Sue Porter, Mary Lou Simmons,
Fran Sancroft, Joe Sancroft, Maureen Marquardt

Absent:
Ulf Neidhardt; Shirlie van Putten; Richard Szpin; Chris Kennedy

The meeting was called to order at 10:00 a.m. with President Chuck Simmons in the Chair.

The purpose of this special meeting was to develop a fair and effective course of action to remedy problems in team interactions by referring to the Club Constitution, By-Laws and Position Descriptions.

The actions and disruptive behavior of Activities Coordinator Richard Szpin have been the subject of many discussions between not only management committee members but members in general.  The positive contributions made by Richard to PROBUS Pickering were duly noted and appreciated. However, the discord caused by many of his actions prompted the necessity to hold this special meeting to which Richard was invited.

After a review of the Club By-Laws and Position Descriptions it was agreed that By-Law 2(h) applies to this circumstance.  By-Law 2(h) states:  “If, in the opinion of and after due consideration by the Club’s Management Committee, a member conducts himself/herself in such a manner as to bring discredit to the organization, or he/she causes discord within the membership, he/she may be asked to resign.  This request should be made only if, after discussion between the member and the Management Committee, the conflict cannot be resolved.”

It was agreed by all present that a formal letter to Richard is to be prepared and signed by the Management Committee asking for his resignation from the Management Committee.  Since several informal attempts to rectify the situation have not been successful, it was agreed by all present that a formal letter to Richard is to be prepared and signed by the Management Committee asking for his resignation from the Management Committee.

There being no further business, the meeting was declared adjourned.

    Richard,

    We were shocked and dismayed after reading your blog that the Pickering Probus Management Committee had asked for your resignation.

    Since we joined the Pickering Probus just a little over a year ago you have been a constant source of encouragement and support. You helped Don start the Billiards Club, a decision which he initially had some hesitation but has come to now thoroughly enjoy. Your constant support as well as your attendance at Billiards has helped greatly.

    Don and I feel very sad that your efforts and good intentions have met with this conclusion. We hope you know you have our full support in your service and convictions.

    We both will miss your contributions and enthusiasm.
